Comfort Club Terms

These terms explain how Advanced HVAC Solutions Comfort Club memberships work, including billing, included services, priority scheduling, discounts, exclusions, and cancellation rules.

Plain-language notice: This page is intended to clearly explain Comfort Club membership rules for Advanced HVAC Solutions customers. It is not a substitute for a signed service agreement, estimate, invoice, or written policy update provided by Advanced HVAC Solutions.

1. Membership Overview

The Advanced HVAC Solutions Comfort Club is a residential HVAC maintenance membership designed to help customers maintain their heating and cooling equipment, receive priority scheduling, and access plan-based discounts while the membership is active.

Membership benefits apply only to qualifying equipment and services performed by Advanced HVAC Solutions. Benefits cannot be exchanged for cash, transferred to another company, or applied retroactively to past invoices unless approved in writing.

2. Plans and Payment Options

Comfort Club memberships may be paid either monthly or annually. Available plan options, pricing, and included benefits are based on the Comfort Club plan selected at enrollment or listed on the customer's written proposal.

  • Monthly payment option: Membership dues are charged each month on the recurring billing date selected at enrollment.
  • Annual payment option: Membership dues are paid upfront for a 12-month membership period.
  • Membership benefits remain active only while the account is current and in good standing.
  • Returned payments, failed payments, or unpaid balances may result in suspended benefits until the account is brought current.
  • Advanced HVAC Solutions may update plan pricing or benefits after the current membership term with reasonable notice.

3. Included Tune-Ups and Maintenance Services

Included tune-ups must be scheduled during normal availability and are intended for routine maintenance. Tune-ups do not include repairs, parts, refrigerant, system upgrades, duct cleaning, major cleaning, or correction of pre-existing issues unless specifically listed in the customer's active plan.

  • Heating tune-ups are generally intended for fall or heating-season service.
  • Cooling tune-ups are generally intended for spring or cooling-season service.
  • Unused tune-ups do not roll over after the membership term ends.
  • Maintenance visits are subject to safe access, equipment condition, and technician availability.
  • If equipment is unsafe, inaccessible, or not operating, a tune-up may be converted into a diagnostic or repair visit.

4. Priority Scheduling and Emergency Service

Priority scheduling means Comfort Club members receive scheduling preference over non-members whenever possible. Priority response times are goals and may vary due to weather events, high-demand periods, parts availability, technician availability, unsafe work conditions, or circumstances outside the company's control.

Emergency, overtime, and diagnostic fee benefits apply according to the active membership tier. These benefits apply to service fees only and do not automatically include parts, equipment, repair labor, refrigerant, or replacement work unless clearly stated in the active plan.

5. Repair, IAQ, and Replacement Discounts

Plan discounts apply only while the membership is active and the customer's account is current. Discounts apply to eligible services performed by Advanced HVAC Solutions and may not be combined with other coupons, promotions, special financing offers, discounted estimates, or third-party warranty pricing unless approved in writing.

  • Repair discounts apply to eligible repair labor and/or repair services as determined by Advanced HVAC Solutions.
  • IAQ product discounts apply to eligible indoor air quality products and installations listed by the company.
  • New system replacement discounts apply to qualifying system replacements only and may exclude ductwork, electrical upgrades, accessories, permits, crane/lift costs, and special-order items unless listed on the estimate.
  • Discounts cannot reduce an invoice below company cost or be applied to previous invoices.

6. Additional Systems

Membership pricing applies to the primary covered system unless otherwise stated. Additional system pricing or discounts apply only to eligible additional HVAC systems at the same service address and must be documented on the membership or invoice.

7. Warranty Language

Any warranty benefit listed in a Comfort Club plan is subject to the written warranty terms provided on the estimate, invoice, manufacturer documentation, or service agreement. Warranties may require active membership, routine maintenance, proper system use, payment in full, and compliance with manufacturer requirements.

Warranty benefits do not cover damage caused by misuse, neglect, lack of maintenance, improper installation by others, power issues, water damage, pests, acts of God, customer-supplied parts, unauthorized repairs, or conditions outside the control of Advanced HVAC Solutions.

8. Exclusions and Limitations

Unless specifically included in writing, Comfort Club memberships do not include:

  • Parts, refrigerant, equipment, major repairs, or system replacement.
  • Duct cleaning, duct modifications, major coil cleaning, drain repairs, electrical upgrades, plumbing repairs, or code upgrades.
  • Repairs needed due to frozen coils, clogged filters, dirty equipment caused by lack of access or neglect, improper installation by others, or pre-existing conditions.
  • Commercial equipment, rental properties, multi-family systems, or non-residential systems unless approved in writing.
  • Services requiring unsafe access, confined-space work, roof access, ladders beyond safe conditions, or work prohibited by weather or site conditions.

9. Customer Responsibilities

The customer is responsible for providing safe access to equipment, keeping filters changed between visits, keeping pets secured, clearing access around equipment, disclosing known issues, and ensuring payment information remains current.

10. Cancellation, Default, and Transfer

Customers may request cancellation by contacting Advanced HVAC Solutions. Annual memberships are prepaid and remain active through the paid membership period. If a membership is cancelled after receiving included services, discounts, or benefits, Advanced HVAC Solutions may require repayment or adjustment of discounts/services received unless waived in writing.

  • Membership benefits stop when the membership is cancelled, expires, or becomes past due.
  • Memberships are tied to the service address and are not automatically transferable to a new owner or property.
  • Advanced HVAC Solutions may cancel or suspend a membership for non-payment, unsafe working conditions, misuse of benefits, or repeated failure to provide access for scheduled service.

11. Changes to Terms

Advanced HVAC Solutions may update Comfort Club terms, pricing, and benefits as needed. Current benefits are based on the plan in effect at the time of enrollment or renewal unless a written update is provided.
